  • Overview

    This position is responsible for providing administrative support to the Senior Materiel Leader and senior program leaders to ensure smooth process execution and operations for the Joint STARS Recap program.  This position requires a high level of administrative practices including calendaring, travel using the Defense Travel System, (DTS), Civilian Timekeeping using the Automated Time Attendance and Production System (ATAAPS), establish and maintain effective professional working relationships with a wide range of staff and team members.

     

     

     

    Qualifications

    • 10 years of administrative support experience  
    • Must have in-depth working knowledge of Microsoft Office Products (MS Outlook, Word, Excel, Power Point)
    • In-depth working knowledge of DTS, Automated Time Attendance and Production System (ATAAPS), SharePoint

     

    SECURITY CLEARANCE/LEVEL REQUIRED: Current DoD Secret clearance or ability to obtain a DoD Secret clearance

     

    Responsibilities

    • Maintain, manage and coordinate Senior Materiel Leader’s and Deputy PM’s daily and long-term calendars as well as the HBJ Director of Engineering and Chief Financial Officer as needed; proactively plan, review, prioritize and recommend solutions or de-conflict potential scheduling conflicts
    • Create travel arrangements and prepare detailed itineraries to include agenda, maps, and other pertinent details of trip into a completed travel packet using DTS (Defense Travel System)
    • Provide administrative support with the assistance of ATAAPS (Automated Time Attendance and Production System) with civilian timekeeping to ensure civilian pay is recorded and processed.
    • Track leadership availability; ensure Division has a designated senior program official to sign documentation, chair meetings and respond to headquarters if Senior Materiel Leader / Deputy PM is not available
    • Review and edit content of documents and correspondence to be submitted for Division Leadership review and/or signature, with emphasis on products that will leave the Division for headquarters' review; ensure timely staffing of such documents
    • Must be able to work independently while understanding the necessity for communicating and coordinating work efforts with other employees and organizations
