Overview

Oasis Systems has an exciting opportunity for an Administrative Assistant as a full time W-2 employee to support the Nuclear Regulatory Commission (NRC) in Rockville, MD. The Administrative Assistant supports the Project Controller, interfacing with the Project Management Team, contract staff, and at times the customer. The ideal candidate is detail oriented, pro-active, with strong written and oral communication skills. He/she will be responsible for assisting the Project Controller with financial management of the overall contract and general administrative duties. As a result, an understanding and working knowledge of Microsoft Office is required. The Administrative Assistant will be actively engaged in monitoring task completions and budgets and is part of the “first line of defense” in noticing any issues that may arise. This position has excellent career growth potential and position specific training will be provided.

 

LOCATION: Rockville, MD – Remote position with occasional in office trainings/meetings

REQUIRED QUALIFICATIONS (Education, Certifications, Experience, Skills)

SECURITY CLEARANCE: Ability to obtain an NRC clearance

EDUCATION: HS Diploma required – Bachelors preferred

CERTIFICATIONS: None required

EXPERIENCE LEVEL: 1 or more years administrative support

OTHER QUALIFICATIONS/SKILLS: 

  • Experience with Microsoft Word
  • Experience with Microsoft Excel
  • Experience with Microsoft Outlook – appointment scheduling, shared calendars, task lists, etc.
  • Experience with Microsoft PowerPoint (a plus)
  • Experience with Microsoft Project (a plus)
  • Experience with Microsoft SharePoint (a plus)
  • Experience with CostPoint (a plus)
  • Knowledge of IT (a plus)

 RESPONSIBILITIES: 

  • Compiles contract bi-weekly funding reports.
  • Compiles weekly status consolidation.
  • Compiles monthly status reports for delivery to the customer.
  • Compiles monthly hours and costs for individual efforts within an activity (charge code).
  • Prepares Purchase Requisitions for labor services and ODCs.
  • Reviews and tracks travel requests and travel expense reports.
  • Reviews staff timesheets for accuracy in daily status information.
  • Maintains multiple project tracking sheets.
  • Updates Earned Value Management (EVM) charts and technical percent completes weekly based on Microsoft Project Plans, and notifies Project Managers and Project Controller of any concerns.
  • Assists the Project Management Team with tracking of requests for additional hours/funds for activities due to customer or staff issues.
  • Assists the Project Controller as needed with:
    • Allocations in Task Tracker project management and financial oversight system.
    • Development and tracking of Work Assignment Forms (WAFs).
    • Development and tracking of spend plans.
    • Development and maintenance of checklists.
    • Development of processes and procedures.
    • Gathering of information for OMB and IG requests.
    • Correspondence involving task order/contract issues and actions items.
    • Other activities as assigned.
